DEVELOPMENT ASSISTANT
The Development Assistant reports directly to the Director of Advancement.
As a vital member of the Development Department, this position provides primary administrative support for Development as a whole, to include Development & Membership, Marketing, Public Relations and Special Events.
DUTIES AND RESPONSIBILITIES
Development Duties
- Respond to Departmental administrative needs.
- Produce comprehensive weekly Development Report that summarizes all giving areas, including membership, annual giving, exhibition support and sponsorship.
- Coordinates the logistics of the weekly Development Department meetings (agenda, communication to team, minutes).
- Monitor and administer department needs for office supplies, stationary, etc.
- Respond to donor and member phone and email requests as needed.
- Maintain department-wide filing system.
- Reconcile and accurately categorize Endowment Patron Funds with the Accounting Department
- Create all departmental purchase orders, maintaining a reference file.
- Produce and maintain exhibit and program budgets.
- Other duties as assigned.
Database Processing
- Generate and coordinate acknowledgment communications
Marketing Duties
- Assist in ad buy and coordination of advertising with Publications, Marketing Director, and Media outlets.
- Cross-promotional creation and coordination as assigned by Marketing Director.
- Create copy for radio spots to promote Gallery events.
PR Duties
- Compile information pertaining to and assist in the creation of press releases
- Clip articles about or of interest to the Gallery from The Buffalo News and The New York Times. Distribute to appropriate staff and file.
- Assist in development of press kits for exhibitions organized by Albright-Knox and distribute press materials to appropriate representatives.
- Maintain press contacts in Outlook and coordinate mailing of all press releases to local and national media.
- Obtain rights for promotional images and assist in creating PR image/caption sheet.
- Develop and maintain PR calendar to assist in logistics.
Special Events Duties
- Assist Events Coordinator as needed with special events.
- Maintain special events budget, P.O.s and assist with mailings.
REQUIRED QUALIFICATIONS
- Superior time management, prioritization.
- Excellent organizational skills and the ability to perform multiple tasks.
- Ability to work independently and function as part of a team.
- Ability to work a flexible schedule as needed, including some weekends and evening hours when required.
- Ability to handle stress and challenges with a sense of humor and positive outlook.
EDUCATION AND EXPERIENCE
- BA/BS in related field
- Related experience helpful
- Superior written and interpersonal communication skills.
- Demonstrated ability to provide exceptional internal and external customer service and relationship building.
- Experience with/Knowledge of Raiser’s Edge software preferred.
- Technical competency in Microsoft Office including Word, Excel, Power Point, Outlook, Database & statistical reporting techniques and methods and Internet applications.
